We are looking for a Contract officer to join our team
As Contract Officer you will support the Domestic heating and hot water operations manager to manage the heating contractors . You will support the effective delivery of planned preventative maintenance, responsive repairs, safety checks, reactive boiler replacements and planned heating replacements.
You will also offer support to front line staff in line with your duties and the function of the contract you manage.
You will balance the needs of the business, stakeholders and customers. You will help monitor the service, including collecting information from contractors, so that we know the service specification is being met and that the business is getting value for money. You will also help collate information and present it in a user-friendly format to a variety of audiences and deal with poor performance.
You will be the main point of contact for contractors, front line staff, stakeholders and customers regarding queries relating to your contracts. You will communicate effectively and professionally to solve issues, monitor progress and work proactively to meet the needs of the business, front line staff, stakeholders and customers.
Main Responsibility
• Manage contractors delivering services assigned to you to ensure they are delivered as specified.
• Ensure the domestic gas properties have an in date LGSR
• Ensure contractors complete maintenance and repair services on time and to the standards expected.
• Ensure contractors have the appropriate third-party accreditation for their service specialism and that consultants are performing effective quality control.
• Lead regular, scheduled contract review meetings with the appropriate agenda to scrutinise contractual KPIs, discuss health and safety matters and hold the contractor(s) to account.
• Be the main point of contact for operational colleagues, contractors, stakeholders and residents for queries relating to your contracts or workstream.
• Deliver services that provide value for money for our residents and business and meet budget expectations.
• Explore innovative ways of delivering services taking advantage of new technology and best practice.
• Deputise for the Contract Manager when requested. General
• Ensure you follow the financial regulations, policies and procedures at NHG.
• Ensure that you follow relevant Health and Safety policies and related procedures, keeping up to date with changes and taking action to maintain personal health and safety and that of others.
• Ensure that you undertake any corporate responsibilities as required, including leading investigations and hearings in formal processes across the business
Ensure all complaints are responded to and closed with NHG policy time lines
Ensure all tenants have safe heating systems are warm and have hot water available
The Ideal Candidate
The ideal candidate will be able to organise and prioritise work to meet deadlines in a customer service environment.
Use information gathered to diagnose problems, draw logical conclusions and suggest clear and practical solutions based upon your analysis
Excellent PC skills including Microsoft Office packages Outlook, Word and Excel.
You will have strong contract and complaint management skills and experience
Be able to manage a process end to end and ensure all procedures are followed
