Notting Hill Genesis has an exciting opportunity for an estate administrator to join our team at Factory Quarter in Acton, West London.
Factory Quarter is a mixed-use development of around 500 units, and the estate administrator will be stationed there to offer front desk services to our tenants during the daytime hours. You will work alongside the Estate Operations Manager and coordinator from Monday to Friday, with occasional resident meetings and events outside of regular hours.
You will be part of the Places & Estates team, gaining insight into estate management, customer service, property management & placemaking, with support to help you pursue future career opportunities within the Housing sector.
How you’ll do it
We are seeking a candidate who can deliver exceptional customer service to a range of stakeholders, including ensuring residents' enquiries are addressed promptly and professionally. In this role, you will act as a liaison between residents, estate management, and local management teams to help oversee the day-to-day operations of the Estate alongside the Estates Team.
As the Estate administrator, you will be the face of NHG and the main point of contact for residents, contractors, staff, and visitors. You will handle minor anti-social behaviour issues, respond to emergencies, manage access and parking areas, and assist with repair appointments and regular communal inspections to ensure the site is safe and meets health and safety standards.
You will work closely with the Estates team to deliver exceptional estate services while adhering to NHG’s Placemaking principles of estate management, community, people, and brand to provide consistent, excellent service to all residents.
Specific duties will include:
- Serve as the main point of contact for residents, contractors, and visitors.
- Monitor CCTV systems and address minor instances of anti-social behaviour.
- Respond to emergency situations and refer issues when necessary.
- Grant access as needed and oversee parking areas.
- Aid with communal repairs and estate inspections.
- Work with the Estate team to maintain up-to-date and accurate compliance records.
- Take on responsibilities in the coordinator's absence.

Essential:
- Experience working in a fast-paced, demanding, customer-focused environment.
- Highly organised work ethic with the ability to manage conflicting priorities and use own initiative to solve problems.
- Proficient in spoken and written English.
- This role requires a basic criminal record check (CRB) issued by the Disclosure and Barring Service (DBS).
- Basic IT skills
Desirable:
- Knowledge and understanding of health and safety practice in residential settings.
