Job Introduction
What you’ll do
The Estate Administrator will be based onsite and is responsible for providing essential support to the estate services team and ensuring residents' enquiries are addressed promptly and professionally. This role plays a crucial part in maintaining the safety and upkeep of communal areas in collaboration with the Estates team.
How you’ll do it
- Respond to resident and visitor enquiries via phone, email, and in person, ensuring timely and appropriate action.
- Address low-level anti-social behaviour issues (e.g. fly-tipping), liaising with relevant authorities and supporting residents.
- Monitor CCTV and provide footage to police when required.
- Escalate urgent repairs and respond to emergency situations such as faulty lifts or insecure doors.
- Coordinate contractor visits and manage access to the estate.
- Monitor parking areas and support communal repairs through regular inspections.
- Maintain accurate records using NHG systems and support compliance documentation.
- Collaborate with the Estate Services Coordinator and assume health & safety responsibilities when needed.
- Manage office supplies and maintain a welcoming front desk environment.

You’re a highly organised and customer-focused individual who thrives in a fast-paced environment. You’re confident communicating with a wide range of people and have a proactive approach to problem-solving. You take pride in maintaining high standards and contributing to a safe and well-managed estate.
Essential:
- Experience of working on a concierge or reception desk in a fast moving, demanding customer focussed environment and being the customer’s first point of contact.
- Experience of working in a housing or estate environment where appearance is key.
- Experience of monitoring contractor productivity to ensure best results for the site.
- Be aware of the basic health & safety requirements on a site such as Oaklands Rise.
- Highly organised work ethic and ability to work to deadlines and manage conflicting priorities.
- Good spoken and written English.
- Intermediate IT and systems skills including Microsoft office.
This role is subject to a basic criminal record check (CRB) issued by the disclosure and barring service (DBS).
