What you’ll do
Do you come from a strong administrative background and have experience in MS Office suite? Our Governance Team is looking for a Governance Assistant with proven experience of formal organisational administration to join Notting Hill Genesis on a permanent basis. Among its functions, the Governance Team supports the operation of our formal Boards and Committees, provides services to shareholders and Board and Committee members, deals with company secretarial matters, filings and compliance, as well as the organisational governance framework. It is a very busy and interesting team, working at pace. 
 
How you’ll do it

  • Provision of accurate and efficient  Board and Committee meeting planning and support, including the scheduling of formal meetings, agenda creation, collation of Board and committee reports using Decision Time (online meeting portal software). 
  • Assist the Governance Team with accommodation, travel and catering requirements for Board and committee meetings, as required.  
  • Lead on processing requests for the sealing of documents for the group, in accordance with procedures, ensuring accurate record keeping is maintained and records are updated as necessary (training provided). 
  • Monitoring the Governance mailbox and escalating matters as appropriate, ensuring matters are dealt with professionally and efficiently to agreed timescales. 
  • Filing of returns with external bodies such as Companies House and the FCA as required ensuring deadlines are tracked and met and accurate information is submitted (guidance will be provided).
  • Provision of administrative and secretarial support to the Chief Governance and Risk Officer/Head of Governance  and other members of the Governance Team as appropriate/directed. 
 
Please note this role is office based four times a week in Kings Cross.

  • Solid administrative / secretarial experience within a formal environment, including meeting scheduling, document creation and record keeping.
  • Proficiency with MS Office, including Word & Excel as well as online tools such as MS Teams and SharePoint.
  • Meticulous attention to detail. 
  • Effective communication with stakeholders at all levels. 
  • Experience dealing with sensitive and confidential information whilst maintaining discretion.
  • Adaptable, with the ability to manage a range of competing deadlines within a timely manner.
  • Previous experience of working in a company secretariat of governance team would be helpful.
  • Knowledge or experience of social housing would be useful.
